Administrative Assistant II Provides general office support for office, lab and field operations. Job Functions: Answers and directs incoming phone calls and provides follow up if needed Checks in visitors, making sure they are aware of policies, view the safety video and provide any additional assistance to visitors Order and manage general office supplies Order Laboratory supplies Assist with onboarding new employees including building assignments, badges and orientation in the site organizational chart and staff schedules Coordinate registration for workshops and send follow up as needed Serves as lead to other admin assistants and provides training and guidance as needed Order, distribute, and track equipment for new employees Order business cards through Taylor Communications Process various agreements via DocuSign Create and manage Purchase Order requests Reconcile and submit Purchasing Card expense reports Oversee coffee machine maintenance (Cleaning and refilling) Adhere to internal standards, policies and procedures. Perform other duties as assigned by supervisor Qualifications Education and Experience: High School/GED Required Minimum two (2) years of experience (provide further detail as necessary) Required OR equivalent combination of education and experience Required Associate Degree in Office Procedures. Preferred 3 years of experience in office clerical duties (provide further details as necessary). Preferred Licenses / Certifications: Computer skills (Word, Excel/Oracle) Knowledge / Skills / Abilities: Language Skills: English Mathematical Skills: Basic or intermediate Reasoning Skills/Abilities: Intermediate to Advanced level Driving skills: preferred for performing other duties.
