Warehouse Administrator Connecticut Foodshare is the food bank serving all of our neighbors across the state. The Warehouse Administrator is responsible for providing administrative and operational support to the Operations Department, with a primary focus on scheduling and receiving functions. Reports to the Inventory Control & Operations Manager. Essential Duties and Accountabilities: Accurately enter, update, and maintain operational data, schedules, and records to ensure information integrity and reliability. Coordinate inbound receiving schedules via phone and email, ensuring timely communication and accurate daily planning. Maintain and update the daily receiving schedule board, reflecting real-time changes, priorities, and adjustments. Support receiving operations by conducting Receiving Audits (approximately 23 per day) to ensure documentation accuracy and compliance. Maintain organized and accurate donor files in hard-copy format, including receiving forms, bills of lading, Car Arrival Reports (CARs), and invoices. Track and confirm cooler and freezer depleted tags, ensuring proper documentation and coordination with assigned personnel. Monitor departmental supplies and inventory levels (e.g., paper, wrap, gloves, and related materials) and proactively identify reorder points to prevent operational disruptions. Monitor selector productivity by manually entering and maintaining daily case count data. Ensure accuracy and consistency when recording productivity metrics and verifying data against source documentation. Demonstrate exceptional attention to detail when reviewing audits, billing, paperwork, and system entries. Process billing for driver-led agency distributions (extras) in a timely and accurate manner. Back up to Cat Communicate clearly and professionally, both in writing and verbally, with drivers, internal teams, donors, and external partners. Prioritize workload effectively to meet daily deadlines in a fast-paced operational environment. Identify and escalate issues, discrepancies, or delays in a timely manner to support smooth departmental operations. Adhere to established policies, procedures, and compliance requirements while supporting continuous improvement efforts. Perform additional duties as assigned. Requirements: Minimum Education/Experience: Associate degree in a related field with 2 years of related experience in similar or related function in a comparable environment OR 4 years of related experience in similar or related function in a comparable environment. Experience with Microsoft Office Suite. Preferred Education/Experience: Bachelor's degree in a related field with 1+ years of progressively responsible experience in similar or related function OR 4+ years of progressively responsible experience in similar or related functions.
