Service Administrative Specialist Goyette Mechanical is seeking a dependable, organized, and proactive Service Administrative Specialist to support the daily administrative needs of the Ohio Goyette Service Team office personnel. This position plays a key role in keeping service operations running smoothly by assisting with communication, scheduling support, documentation, and coordination for the service team. The ideal candidate is detail-oriented, professional team player who thrives in a fast-paced service environment and works collaboratively to ensure day-to-day operations stay organized and efficient. This is a full-time, non-union salaried position with benefits. Job duties are in our Hilliard, Ohio office. Essential Duties & Responsibilities Provide daily administrative support to the Ohio Goyette Service Team office personnel Answer incoming calls and emails, route messages, and provide professional customer service to clients, technicians, and vendors Assist the Ohio Service Team office with scheduling, service coordination, and work order processing Prepare and manage job orders, invoices, and related service documentation with accuracy Maintain files, service records, and office documentation Monitor inventory levels and assist with ordering office supplies or parts Prepare reports, spreadsheets, and correspondence as requested Help maintain an organized, efficient office environment Assist with additional administrative or operational tasks as needed to support the team Required Qualifications 23+ years of administrative or office support experience (HVAC, construction, or skilled trades environment preferred) Proven reliability, professionalism, and strong work ethic Excellent organizational skills and strong attention to detail Strong verbal and written communication skills Proficiency with Microsoft Office (Excel, Outlook, Word) and general office technology Experience with invoicing, documentation, and general administrative support tasks Ability to multitask, prioritize, and work effectively in a fast-paced environment Strong customer service and interpersonal skills Preferred Qualifications Familiarity with commercial HVAC terminology, service dispatching, or field operations Experience using scheduling or field-service management software (e.g., ServiceTitan) Experience supporting service or operations teams Associate degree or relevant administrative certification Experience using Google Sheets or Smartsheet for project tracking and basic workflow management Local candidates highly encouraged to apply Compensation And Benefits: Competitive Salary Paid Holidays and Paid Time Off Health Insurance, optional Dental and Vision insurance 401K Company Match and Profit Sharing Medical insurance Vision insurance 401(K) match & profit sharing Employer Summary: At Goyette Mechanical, we are dedicated to delivering the highest quality in plumbing, heating, air conditioning, refrigeration, electrical, and environmental process systems, ensuring comfort, safety, and value for our customers and communities.
