Position Type: Secretarial/Clerical/Building SecretaryDate Posted: 3/23/2026Location: Coulston ElementaryDate Available: 06/18/2026Secretary -- TreasurerSUMMARYServe as secretary to the principal and as facilitator for the school/public being served in communicating information, problem solving, material acquisition, cash handling, record keeping and building permits.ESSENTIAL RESPONSIBILITIES: Other duties may be assignedTypes correspondence, letters and memos, purchase orders, forms, etc.Responds to routine questions, sets appointments or routes calls to appropriate personResolves bus scheduling problems and other issues as they ariseReceives visitors, new parents, and students; answering questions; resolves student problemsServes as confidential secretary to the principal and assistant principalActs a liaison between school and community, principal, parents, staff and studentsOperates and maintains office equipment, requests service when neededAttends open house, registration and Parent FairDistributes daily mail/checksMaintains calendar of events for teachers, students and staffAssists with school picture day, parent/teacher conferences, and awards programsUtilizes school wide communication systemMaintains vendor file including W-9's, vendor numbers and responds to vendor inquiry regarding payment.Reviews, processes and pays all authorized invoices. Ensures timely entry of data to automated systemAssist with bi-annual auditPrepares, verifies and distributes checks; files copiesBalances bank statements monthlyBalances fund report to bank statement monthlyReceives and records payments for book rental fees on school's computer system throughout the yearSends out invoices for unpaid book rental fees in a timely fashionResponds to expenditure questions from principal and members of the district business officeEscorts and records substitute teachersOrders, processes, and maintains accurate inventory of office supplies and equipmentMaintains and prints report cards and quarterly honor rollProcesses payroll data and attendance for all school employees and maintain accurate, up-to-date filesPrepares, distributes, files records/reports related to purchasingPrepares and maintains reports for State Board of AccountsPrepares elementary school ECA budgetPrepares and enters on Gateway annually ECA Risk ReportPrepares monthly cash flow reportsMaintains Public Official Surety Bond of $100K, cost of bond paid by CorporationMaintains satisfactory attendanceComplies with Corporation Bylaws, Policies and Employee HandbookModels Corporation Mission Statement and Fundamental ObjectivesEDUCATIONHigh school diploma or general education degree (GED); plus three to five years in general office work and/or training; or equivalent combination of education and experience.
