This position supports teachers, staff, students, and visitors by managing instructional copying needs, maintaining supplies and equipment, distributing mail and packages, and assisting with front office duties as needed. The role requires strong organizational skills, attention to detail, and a commitment to providing excellent customer service to the school and community.Preferred QualificationsHigh School Diploma or GED required.Prior clerical or office experience preferred.Experience working in a school environment preferred.Notary Public certification preferred or willingness to obtain.Completion of required district IC training.Knowledge, Skills, and AbilitiesStrong organizational and time management skills.Ability to manage multiple tasks and prioritize work effectively.Strong interpersonal and communication skills.Ability to provide excellent customer service to staff, students, and visitors.Working knowledge of office equipment including copiers and printers.Ability to troubleshoot minor equipment issues.Attention to detail and accuracy in completing tasks.Primary Duties and ResponsibilitiesWorkroom OperationsProvide daily copying services for teachers and staff to support instructional and operational needs.Ensure copy requests are completed efficiently and in accordance with school procedures (requests should be submitted at least 24 hours in advance).Maintain organization and workflow within the workroom to ensure timely completion of tasks.Assist staff with copying, collating, stapling, and preparation of instructional materials.Copier Management and MaintenanceMaintain and monitor all copier machines within the school.Replace copier consumables such as toner, waste toner, fusors, and other required components.Diagnose copier issues and contact technicians for repairs when necessary.Ensure copiers remain stocked with supplies and are functioning properly to support staff needs.Supply ManagementManage inventory of school and office supplies.Stock and organize supplies in the designated supply room.Distribute supplies to staff as requested.Monitor supply levels and submit purchase requests to the bookkeeper when replenishment is required.Coordinate with school personnel regarding special supply requests. Mail and Package DistributionSort and distribute incoming mail to staff mailboxes daily.Maintain staff mailboxes and ensure each staff member has an assigned mailbox.Log incoming packages and notify staff members via email when packages arrive.Coordinate delivery of mail and packages to appropriate recipients. Front Office SupportProvide support to the reception and attendance offices as needed.Answer incoming phone calls and assist callers appropriately.Greet and assist visitors, students, and staff with professionalism and courtesy.Assist with locating students when necessary.Support front office operations including copying, clerical tasks, and visitor assistance.Monitor or assist with school safety procedures such as the metal detector when assigned. Additional ResponsibilitiesAssist with distributing and replenishing school recognition items.Support attendance office and front office operations when coverage is needed.Provide general clerical assistance including filing, organizing documents, and maintaining records.Perform other duties as assigned by the Principal or designee to support the efficient operation of the school. Physical Demands:Ability to sit or stand for extended periods of time.Occasional lifting of office materials or student records (up to 25 lbs.).Regular use of standard office equipment such as computers, telephones, and copiers.
