Position Overview We are seeking a detail-oriented and highly organized Administrative Assistant to support policy operations and administrative functions. This role plays a key part in ensuring efficient document management, coordination, and compliance support across multiple projects and stakeholders. Key Responsibilities Screen and prioritize incoming correspondence, documents, and requests for assigned supervisors Format, edit, and finalize policy and procedural documents with a high level of accuracy Manage document version control and maintain organized, audit-ready files Track policy development progress, deadlines, and deliverables across multiple projects Coordinate internal reviews, approvals, and stakeholder feedback processes Schedule and support meetings, workgroups, and cross-functional initiatives Maintain document management systems and shared repositories Prepare routine correspondence and communications independently Provide administrative support to ensure efficient policy operations and regulatory compliance Required Qualifications Minimum of 2 years of progressively responsible administrative or secretarial experience Intermediate proficiency in Microsoft Excel and Word (formatting, tracking, data management) Basic proficiency in PowerPoint, xywuqvp Publisher, and/or Visio Experience with document management systems, version control, and file organization Ability to manage multiple priorities and meet competing deadlines Strong attention to detail, organization, and independent judgment Preferred Qualifications Experience supporting compliance, policy, or regulatory functions, particularly in a public or professional sector environment Spanish bilingual skills are a plus but not required
