PRIMARY PURPOSE The Office Services Administrator is a full-time, onsite position supporting the daily operational readiness of OCP's headquarters and providing services and assistance for onsite staff and gatherings. This position also provides administrative support for the Publisher's Executive Assistant as needed. The Office Services Administrator creates and maintains a safe and comfortable working environment, including general upkeep of shared spaces, meeting rooms and company libraries. This role is expected to uphold a high standard of professionalism, stewardship, and ownership in all responsibilities, taking pride in the details that preserve the beauty and efficiency of the headquarters and support a positive experience for staff, visitors, composers, and other guests. ESSENTIAL DUTIES AND RESPONSIBILITIES Conduct daily interior and exterior walkthroughs using a structured checklist to proactively monitor cleanliness, functionality, and overall presentation of the building and grounds. Identify concerns promptly, communicate needs clearly, and coordinate appropriate follow-through to safeguard the beauty and integrity of the building. Take primary responsibility for the appearance and hospitality of shared spaces, including lobby, kitchen, gathering areas, and meeting rooms, ensuring these areas remain orderly and ready for use. Provide daily backup coverage for the receptionist, including answering phones and attending to visitors and deliveries. Assist with mailing projects, clerical tasks, minor repairs and cleaning as needed. With the Vendor Manager, help to coordinate and monitor the service delivery of vendors (including landscaping, cleaners, office suppliers, first-aid vendors, pest control, coffee supplies and plant maintenance. Assist the Executive Assistant with daily operational tasks, providing dependable, detail-oriented support for event preparation, clean-up, unloading supplies, and special projects. Respond in a timely manner to Service Desk tickets and maintenance requests. As directed, design, create, and post Able Sign communications for the front office and gathering spaces, ensuring signage is timely, accurate, visually consistent, and aligned with the tone and needs of each event or activity. Collaborate with other departments to stock and maintain product libraries. Provide set up and teardown of meeting spaces for on-site events, meetings, and other activities. Perform minor repairs and clean public office spaces as needed; maintain plants in offices and public spaces. Assist in the maintenance of building security including distribution of access fobs and keys, and maintenance of cameras and alarm system as needed with appropriate vendors and IT. Support management in the provision of the safety program, including fire drills, ergonomics training, and participation on Safety Committee. Track inventory and order office and kitchen supplies to ensure support of office needs. Promote and maintain strong relationships with internal and external stakeholders to ensure optimal vendor performance. Actively engage with key suppliers to address issues and identify potential opportunities. Communicate requirements and specifications to contracted vendors to produce desired results. Assist manager in the reporting and achievement of the facility department budget. Assist Executive Assistant with special projects as assigned, including large mailings and vendor research. Document work processes and procedures.? Review and revise annually. Promote the efficient use of supplies and equipment, provide guidance to onsite staff as needed. Provide for compliance with city and state ordinances, rules, laws, and company policies. Provide support to other departments as needed. Participate in project teams as assigned. Obey company rules, policies, and safety procedures. This role may require occasional evening and weekend work. Other duties as assigned. Requirements MINIMUM REQUIRED QUALIFICATIONS & EXPERIENCE A high school diploma or equivalent Proven experience in an administrative role, providing support for company leaders or similar level Strong organizational skills with the ability to multitask and prioritize tasks effectively Demonstrated ability to take initiative and proactively identify opportunities for improvement. Demonstrated ability to develop and maintain positive and effective supplier relationships. Proven proficiency with Microsoft Office suite of tools, including Word, Excel and Teams. Team player with enthusiasm for ad-hoc teams and short-term projects Good communication and interpersonal skills. Demonstrated skills in problem-solving and resolving issues with clear communication. Strong and proven organizational and record-keeping skills. Skilled in written and verbal communications. PREFERRED QUALIFICATIONS & EXPERIENCE Additional education or certification in office administration is a plus. Knowledge of OCP products preferred. COMPENSATION & BENEFITS Estimated starting pay range between $23.20 - $25.00, depending on qualifications and experience.
