Job Description:Position SummaryThe Administrative Coordinator provides comprehensive administrative and operational support to a designated team within a fast-paced, high-growth environment. This role focuses on enabling team efficiency, improving operational processes, coordinating logistics, and ensuring smooth day-to-day operations.The ideal candidate is highly organized, detail-oriented, and proactive, with the ability to manage multiple priorities while supporting a diverse group of stakeholders. This is not a dedicated executive support role; rather, it is a team-facing position focused on coordination, organization, and operational excellence.Key ResponsibilitiesTeam Operations & CoordinationProvide administrative support to a direct team of approximately [40] membersCoordinate team meetings, recurring cadences, and cross-functional sessionsManage shared calendars, conference room scheduling, and meeting logisticsTrack action items and support follow-ups to ensure accountabilityPlanning & LogisticsCoordinate domestic and occasional international travel for team membersPrepare and process expense reports in compliance with company policySupport budget tracking, invoice processing, and purchase requisitionsSupport with Contract and FTE personnel onboarding by obtaining access to NX systems, procuring IT equipment, PPE, updating team org charts, etcAssist with receiving, organizing and distributing deliveries and shipmentsProject & Process SupportMaintain shared documentation, trackers, dashboards, and reporting templatesAssist with departmental projects and track key milestonesSupport preparation of presentations, reports, and team communicationsIdentify and recommend process improvements to increase team efficiencyEvents & EngagementSupport customer visits to Nextpower facilitiesCoordinate team offsites, workshops, and internal eventsSupport leadership visits and cross-functional planning sessionsPartner with HR or leadership on team engagement initiativesRequired Qualifications3-5+ years of administrative, coordination, or operations support experienceExperience supporting a team in a corporate environmentStrong proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word) and collaboration tools (Teams, SharePoint, Confluence)Strong organizational skills with the ability to manage multiple prioritiesExcellent written and verbal communication skillsAbility to work independently and exercise sound judgmentHigh attention to detail and follow-throughPreferred QualificationsExperience in technology, renewable energy, manufacturing, or other fast-paced industriesExperience supporting cross-functional or distributed teamsFamiliarity with ERP, expense, or procurement systems (e.g., Workday, Concur, SAP)Experience with Salesforce, Confluence, and Netsuite.Data analytics and data management experience a major plus (Excel, Python, PowerBI)Bachelor's degree preferredCore CompetenciesProactive and solutions-oriented mindsetStrong time management and prioritization skillsCollaborative and service-oriented approachProfessionalism and discretionAdaptability in a dynamic environmentNextpower offers a comprehensive benefits package.
