To provide assistance with data collection and record management. ESSENTIAL JOB FUNCTIONS: * Perform regular office routines and practices. * Complete routine forms * Complete Google Calendar Invites for ARDS * Maintain appropriate special education records. * Request, copy and file special education records as needed. * Assist with Medicaid completion as needed. * Assist in keeping administrative records for School Health and Related Services (SHARS) such as parent consents, prescriptions, referrals, and service logs. * Assist ordering testing materials for evaluation personnel. * Work cooperatively with special education administration, and staff to plan and carry out effective practices for audit purposes. * Distribute special education forms to physicians, psychologists, campuses and special education staff. * Assist as a Substitute in Refocus Classroom as needed * Files correspondence, invoices, cards and other records in prescribed manner. * Receive all incoming calls, take reliable messages, and route to appropriate personnel. * Send reminders to special education teachers and service providers for Random Moment Time Study. * Perform the usual office routines and practices of an office setting. * Order and maintain supplies, as needed. * Reconcile accounts monthly. * Verify student information with PEIMS/eSped monthly. * Change student PEIMS codes as needed. * Perform such other duties as may be assigned by Supervisors/Director of Special Education Program. MINIMUM QUALIFICATIONS: Education/Certification: Bachelors Degree Preferred Special Knowledge/Skills: Working knowledge of Google Office Organizational skills Experienced people skills Excellent oral and written communication skills Good telephone etiquette Experience: 3 years teaching experience preferred or 3 years secretarial experience EQUIPMENT USED: Standard office equipment including computer and peripherals, instructional equipment WORKING CONDITIONS: Mental Demands/Physical Demands/Environmental Factors: Maintain emotional control under stress. Frequent standing, stooping, bending, kneeling, pushing, and pulling. Prolonged sitting, repetitive hand motions, prolonged use of a computer. Move small stacks of textbooks, media equipment, desks, and other classroom or adaptive equipment. Work with frequent interruptions and light to moderate lifting and carrying (up to 45 pounds).
