This role is responsible for managing spare parts procurement, coordinating logistics, maintaining inventory records, and ensuring timely delivery of parts to support operational and customer service needs.The position works closely with procurement, vendors, service teams, and customers to ensure spare parts are properly priced, ordered, tracked, and delivered. The coordinator will also manage surplus inventory resale listings and assist with contract administration and documentation.This is a fast-paced role ideal for someone who enjoys logistics coordination, vendor communication, and maintaining accurate inventory records.Key ResponsibilitiesSpare Parts Procurement & Order ManagementCoordinate with procurement and vendors to obtain pricing for spare parts requestsPrepare and issue purchase orders for approved spare partsTrack orders from placement through delivery and resolve order-related issuesMaintain accurate documentation for spare parts transactionsCommunicate delivery schedules and order status updates to internal teamsInventory & Asset ManagementMaintain accurate records of spare parts inventoryTrack inventory usage and ensure proper documentationManage surplus or resale spare parts listings on platforms such as eBayTrack resale transactions and maintain accurate sales documentationLogistics & ReceivingCoordinate shipping, receiving, and delivery of spare parts and equipmentSupport receiving and storage of parts into CMMS or inventory systemsAssist with onsite receiving and inventory documentation when requiredCoordinate with vendors, warehouses, and logistics providers to ensure timely deliveryContract & Administrative SupportSupport contract management activities related to spare parts and service agreementsMaintain organized records of logistics, spare parts, and vendor transactionsProvide administrative support to the After Sales and Service teamCustomer & Technical Support CoordinationAssist with spare parts inquiries related to parcel and baggage handling systemsCoordinate with service teams to identify required parts and ensure timely procurementCommunicate order status and logistics updates to customers and internal stakeholdersQualifications / RequirementsHigh School Diploma or GED required2-5 years of experience in spare parts coordination, logistics, procurement support, or inventory managementExperience working with vendors, purchase orders, and logistics coordinationProficiency in Microsoft 365 including Excel, Word, and OutlookStrong attention to detail and documentation skillsExperience with vendor relationship management and customer communicationAbility to track inventory and maintain accurate recordsFamiliarity with CMMS, ERP, or inventory management systems preferredExperience using online resale platforms such as eBay is a plusWork EnvironmentPrimarily office-based with a collaborative team environmentOccasional travel to customer sites or warehouses may be requiredAbility to lift up to 50 lbs and perform receiving or inventory tasks when needed
