Position HighlightsDepartment: Mental Health Services AdminHours: 40.00 per weekShift: Shift 1Position SummaryThe Administrative Coordinator provides high level administrative and operational support to the Outpatient Director Beit Paley Center for Mental Health and the Chairperson of Psychiatry. This role is essential to ensuring efficient outpatient operations, supporting physicians and leadership, and contributing to excellence in patient care and medical education.The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast paced healthcare environment. Hours are Monday-Friday 8am-430pm however flexibility is a must.Essential Duties & ResponsibilitiesAdministrative & Leadership SupportProvide comprehensive administrative and secretarial support to designated leadershipManage calendars, schedule meetings, and coordinate logisticsPrepare reports using EHR and other internal systemsAnswer and direct phone calls on behalf of leadershipReceive and assist visitors professionallyOperational & Clinical SupportMaintain and update templates in Epic (EHR system)Assist the Chairperson with patient related coordination including schedulingSupport physician peer review processes, including case assignment and documentation trackingManage payroll processingQuality & ReportingCoordinate quarterly patient experience surveysPrepare and support quarterly QIPS reports and quality assurance initiativesEducation & Program CoordinationOrganize and manage monthly Psychiatry Grand Rounds, including documentation, approvals, EEDS accounts, and CME/CEC credits for licensed independent practitioners (LIPs)Coordinate onboarding for new MDs, APRNs, and LIPsManage onboarding and scheduling for medical students and nurse practitioner studentsMeetings & ProjectsSchedule meetings and record/distribute meeting minutesSupport special projects and initiatives as assignedMinimum QualificationsPrior administrative experience, preferably in healthcare or academic medicineStrong organizational, multitasking, and time management skillsExperience with EHR systems (Epic preferred) and Microsoft OfficeExcellent communication and interpersonal skillsAbility to handle sensitive and confidential information with discretionComprehensive Benefits OfferedCompetitive and affordable benefits packageShift DifferentialsContinuing Education assistanceTuition reimbursementStudent Loan relief through FiduciusQuick commute access from I-84, Route 9 and surrounding areasAbout Middlesex HealthThe Smarter Choice for your Career!Come join one of Connecticut's Top Workplaces, and a Magnet designated organization!
