Legal Support Assistant I/II - CN The County of Riverside's Office of County Counsel is hiring a Legal Support Assistant I/II - CN to support attorneys and other County staff with specialized legal clerical tasks. The level at which the position will be filled is at the discretion of the department. Schedule & Work Arrangement Schedule: 9/80 with a hybrid telecommute arrangement after a six"‘month training period. Telecommuting is at the discretion of the department and may change at any time. Compensation Legal Support Assistant I - CN: $20.94 - $33.56 hourly / $3,630.07 - $5,817.08 monthly / $43,560.82 - $69,804.97 annually Legal Support Assistant II - CN: $23.41 - $38.67 hourly / $4,057.99 - $6,702.45 monthly / $48,695.92 - $80,429.46 annually Responsibilities I Serve as clerical support to attorneys and County staff; schedule appointments, screen callers, and respond to routine correspondence. Maintain files of correspondence and legal documents, including a cross"‘reference index file; file legal papers with the correct courts; enter records of hearings, pleas, trials, convictions, acquittals, sentences, judgments, orders, and other dispositions. Complete documents for case files by extracting accurate information, obtaining necessary signatures, attaching required addenda; review and verify file documents to ensure receipt and filing with appropriate court or parties within statutory time limits. Review and route calls from the public or in person, provide information with discretion and in accordance with established confidentiality policies; conduct inquiries of individuals presenting documents to determine adherence to special legal requirements. Contact judges, attorneys, court clerks, witnesses, medical representatives, and other County departments or government agencies by phone, automated system, or in person to obtain or confirm information for case files or to arrange medical appointments, depositions, or hearings; prepare case files and maintain case status records, including posting of court actions and dates to calendars. Perform general office duties (filing, opening and distributing mail, maintaining logs, keeping statistics, and preparing reports); utilize a variety of computer systems; interpret legal, procedural, or departmental prerequisites from the record to the public, law enforcement agencies, and/or attorneys. Type from drafts, rough notes, verbal instructions, or taped dictation a variety of correspondence and legal documents, including interviews, proceedings, ordinances, contracts, agreements, orders, motions, complaints, warrants, subpoenas, commitments, decisions, investigation requests, affidavits, briefs, jury instructions, dismissal sheets, reports, appeals, writs, petitions for hearings, and other legal documents; may receive payments, issue receipts, turn in money, and file fee receipts with the court. Process, obtain, or track legal documents through the courts and/or other offices for the attorneys' case"‘building process. Compile a variety of reports locating sources of information and determining proper format for finished reports; complete legal papers and documents for which general forms are available. Provide more responsible and authoritative information to law"‘enforcement officers, attorneys, officers of the court, other staff, agencies, and the general public; train lower"‘level staff; interpret legal, procedural, or departmental requisites from the record to the public, law"‘enforcement agencies, and/or attorneys. Contact judges, attorneys, court clerks, witnesses, medical representatives, and other County departments or government agencies by phone, automated system, or in person to obtain or confirm information for case files or to arrange medical appointments, depositions, or hearings; prepare case files and maintain case status records including posting of court actions and dates to calendars. Maintain files of correspondence and legal documents, including a cross"‘reference index file; file legal papers with the correct courts; enter records of hearings in the calendar; record pleas, trials, convictions, acquittals, sentences, judgments, orders, and other dispositions. Type from drafts, rough notes, verbal instructions, or taped dictation a variety of correspondence and legal documents, including interviews, opinions, proceedings, ordinances, contracts, agreements, orders, motions, points and authorities, complaints, warrants, subpoenas, commitments, indictments, decisions, investigation requests, extraditions, affidavits, briefs, jury instructions, dismissal sheets, reports, appeals, writs, petitions for hearings, and other civil and criminal legal documents; may receive payments, issue receipts, turn in money, and file fee receipts with the court. Prepare and process materials involving the use of complex source material and a thorough familiarity with policies, procedures, legal terminology, and various applicable laws to obtain the necessary data; compare dictated legal references with actual reference materials to ensure accurate citations. Compile a variety of reports locating sources of information and determining proper format for finished reports; convert general information into proper legal form; compose legal papers and complete legal documents for which general forms are available. Qualifications Education: Graduation from high school or possession of a Certificate of Proficiency issued by the California State Board of Education, or attainment of a satisfactory score on a G.E.D. test. Experience: One year of clerical experience. Completion of 18 semester or 27 quarter units from an accredited college or university in secretarial sciences, business education, or a closely related field, or completion of 360 hours of training from a recognized occupational training program in secretarial sciences, business education, or a closely related field, may substitute for the clerical experience. Knowledge: Legal terminology and legal clerical procedures; processes and the full range of standard legal documentation appropriate to the area of law supported by the position; legal procedures and practices involved in composing, processing, and filing legal documents and reports; standard legal references and their content; business English; proper formats for preparing correspondence, reports, and a wide variety of legal documents; statistical and fiscal record"‘keeping principles and application; proper telephone techniques; operating principles and application of modern office equipment including word processing, computerized data systems, storage systems, and terminology. Ability: Exercise good judgment and initiative in the performance of complex legal clerical work; review legal documents and records for correctness of form, sufficiency of information, and conformance with prescribed legal requirements; establish and maintain cooperative relationships with staff, the public and other agencies; independently carry out a variety of clerical activities related to assignments; explain to concerned parties the basic procedures of the judicial process as they relate to a variety of legal documents; spell correctly, construct grammatical sentences, and make mathematical computations. Requirements for All Levels All candidates will be required to take a typing test prior to consideration. Skill to type 40 words per minute is required. Experience with Microsoft Outlook and Word is required.
