ESSENTIAL DUTIESThe Temporary Document Scanning Clerk will support the Seattle Art Museums record digitization initiative by organizing, scanning, and digitally archiving a variety of paper files. This position plays a key role in maintaining confidentiality, ensuring document accuracy, and creating clear, consistent digital filing systems.Responsibilities include, but are not limited to:Document Preparation & ScanningPrepare physical files for digitization, including sorting, organizing, and removing staples or bindings.Operate scanning equipment and software to create high-quality digital copies of documents.Manage scanning of both standard and non-standard materials such as brochures, invitations, and specialty papers.Review scanned files for completeness and clarity, re-scanning as necessary.Digital File Management & DisposalEstablish and maintain logical file naming conventions and folder structures to ensure efficient retrieval.Verify the accuracy of file metadata and ensure proper upload and storage within designated systems.Maintain consistent digital organization across all scanned documents and folders.Sort and appropriately dispose of physical documents after scanning, including recycling non-confidential materials and placing confidential items in shredder boxes for secure destruction.Confidentiality & Record HandlingHandle confidential and sensitive materials with discretion, adhering to SAMs data and records retention policies.Maintain the integrity and security of all documents throughout the scanning and filing process.Coordinate with the project lead or department staff regarding special handling instructions.General SupportAssist with maintaining and organizing physical file cabinets as needed.Provide status updates and communicate issues or discrepancies to the supervisor.Perform other duties as assigned.WE ARE LOOKING FORRequired QualificationsHigh school diploma or equivalent.Demonstrated attention to detail and accuracy in data entry or recordkeeping tasks.Basic computer literacy, including comfort with file organization and digital storage.Ability to handle confidential information responsibly.Strong organizational and time management skills.Ability to work independently and meet project deadlines.Ability to lift and move boxes or files up to 25 lbs.Preferred QualificationsPrevious experience with document scanning or digital archiving.Familiarity with office filing systems, scanners, or imaging software.Experience working in an office, administrative, or museum environment.FLSA Status: FT, Non-ExemptCompensation: $20.77 per hourWorkplace Type: OnsiteDuration: Temporary, Full-Time (up to 6 weeks)ABOUT SAMSeattle Art Museums vision is to be the museum for all of Seattle—a bold, dynamic hub of creativity, belonging, and cultural leadership, shaping the future of art and community.
