Position Description: The Benefit Compliance Coordinator provides compliance and operational support to the Benefits Department, ensuring the organization meets regulatory requirements across employee benefit programs. This role serves as the primary backup to the Retirement Plan Administrator, assisting with 401(k) operations, funding, and audit support, as well as overseeing Affordable Care Act (ACA) administration and reporting. The Benefit Compliance Coordinator also assists with other benefit compliance activities, helping ensure data accuracy, timely reporting, and adherence to federal and state regulations. Position Responsibilities: Responsibilities may include but are not limited to: Serves as the primary backup to the Retirement Plan Administrator for daily 401(k) operations, including funding, contribution reconciliation, and participant updates. Assists with 401(k) plan audits, data validation, and preparation of audit materials. Supports administration of participant deferral changes, loan requests, and related plan maintenance tasks. Monitors ACA compliance by reviewing eligibility data, conducting audits, and managing monthly tracking processes. Prepares and submits Forms 1094-C and 1095-C, coordinating with internal teams and vendors to ensure accurate and timely filing. Researches and resolves ACA data discrepancies and ensures corrective action where needed. Assists with compliance activities related to COBRA, HIPAA, nondiscrimination testing, and other benefit plan regulations. Maintains and updates compliance documentation, procedures, and tracking tools. Partners with internal stakeholders and vendors to address benefit compliance issues or data inconsistencies. Supports the Benefits Team with compliance-related reporting, audits, and special projects. Monitors and communicates regulatory updates impacting benefit programs. Participates in process improvement initiatives to strengthen compliance operations. Knowledge, Skills and Abilities: BENEFIT COMPLIANCE COORDINATOR - Requirements include but are not limited to: Bachelors degree in Human Resources, Business Administration, Finance, or related field; or equivalent combination of education and experience. Minimum 2-4 years of experience in benefits administration or compliance. Working knowledge of ACA, ERISA, and IRS regulations governing employee benefit plans. Experience with HRIS, ACA tracking systems, and/or retirement plan platforms preferred. Strong analytical and problem-solving skills applied to reviewing data and resolving issues within defined processes. Proficiency in Microsoft Office programs including Word, Excel, PowerPoint, Teams, and Outlook. Excellent communication, organization, and time management skills. Ability to manage multiple priorities and meet deadlines in a fast-paced environment. Maintain a high level of confidentiality and professionalism. Knowledge, Skills and Abilities Strong analytical and problem-solving skills within established guidelines and procedures. Effective written and verbal communication. Attention to detail and organizational ability. Time management and ability to multitask effectively. Ability to work collaboratively with team members and internal departments. Familiarity with benefit compliance processes and regulations.
