Come join us and shine brighter together As a Lead Front Office Associate, you will be responsible for providing services to patients and referring professionals by answering phones, scheduling appointments, cheerfully greeting and registering patients and performing other duties as assigned. Takes on a leadership role with the greater administrative team; from process improvements, staff planning, training and supervision. This is a full-time position, working 40 hours per week, variable hours Monday - Friday.ESSENTIAL DUTIES AND RESPONSIBLITIES:(55%) RegistrationGreets in and checks-in of patients scheduled for imaging services; processes payment as neededAnswers phones and handles calls in an efficient and friendly mannerFields calls appropriately for center associatesActs as liaison between technologists and the patients waiting for exams and relays messages regarding scanner status and other clinic informationMaintains front office lobby area by straightening magazines, organizing coffee supplies and assisting with general office clean upOrders office supplies as neededMaintains supply of patient information sheetsPushes imaging via electronic interfacesCompletes confirmation calls and provides preparation instructions to patientFaxes reports, billing information, and medical release forms as requested(25%) Scheduling & InsuranceSchedules patients and enters ordersChecks all exams for pre-certification with patient's insurance companyUses knowledge of insurance carriers (example Medicare) and procedures that require waivers to obtain authorization if needed prior to appointmentHandles release of information requests for patients, referring offices, other medical facilities, attorneys & insurance companies following Company guidelinesAssists with arranging interpreter services, transportation and hotel accommodations for patients when appropriateMaintains an up-to-date and accurate pending-scheduling listMaintains an up-to-date and accurate database on all current and potential referring physicians(15%) Staff SupportCoordinates the training and onboarding of new associates Leads regular staff meetings and associate one-on-onesAssists in the hiring process for new associatesLeads regular team meetings and associate one-on-onesMonitors and approves timecardsInitiates and participates in annual performance evaluations, development and performance management of associatesHelps develop associate schedules to provide for planned time off, ensuring appropriate staffing levels and adequate coverageEvaluates workflow and implements process improvements for the teamEnsures team has knowledge of company and department policies and corresponding procedures are in placeSupports associates ensuring highest level of patient satisfactionManages department in the absence of supervisor and coordinates schedule to ensure appropriate coverageLeads special projects and/or committees, as assigned(5%) Performs other duties as assignedRequired:High school diploma or equivalent3+ years customer service and medical front office experience, with demonstrated ability to serve as a resource to others, coach and train associates, and identify and implement process improvement opportunities.
