Job Description

Job duties will include drafting, mailing, scanning, filing, following up with clients related to information needed for their plans, status of cases, and appointments, following up with courts on deadlines and schedules, and managing the day-to-day emergencies and changes that occur. You will also assist in maintaining our project database so that we can view at all times the status of each case. You will open files and enter information in the appropriate software and close files and enter information in the appropriate software. You will track supplies and order replacement supplies as we get low and keep an updated vendor list of the suppliers we use. You will assemble estate planning portfolios and learn to give delivery meeting talks with clients. You will serve as a witness at signing meetings which occasionally require off-site meetings. You will need to know how to direct people to get to our office too including the willingness to walk out front and wave. You will also be the hostess for clients coming into the office for meetings. You will log your hours when working on client files and also log hours serving as a backup receptionist and intake specialist. You may be asked to assist with interviews for new hires as well.Your experience here will be different from a big firm experience because the paralegal here will not have other support staff initially. Your job duties will include tasks outside your job description such as job duties delegated to legal secretaries or file clerks. We also cross-train our staff so we can cover for each other when someone is absent.This may seem like a lot of work and it is. We plan to hire a legal secretary to support you in the next 90 days. Our employees are required to log the time they spend doing various tasks each day so that we know when we have enough work to support hiring another staff member.Working for this firm may result in an increase in your daily happiness because you literally feel what it's like to make someone else's life better every day.ResponsibilitiesPARALEGAL SCORECARDThe mission of the Paralegal: Saving the attorney's time by managing as much drafting and client communications as possible without giving legal advice so that the managing attorney can focus on bringing in more business and/or hiring more team members for marketing and sales.OUTCOMESMeeting current deadlines: Meeting deadlines for drafting; managing outsourced services and ensuring deadlines are met; scheduling and doublechecking court deadlines; calendaring time to draft and prepare for court or filing deadlines; calendaring time for you to draft and for an attorney to review;Making the position more efficient: Creating templates and checklists for documents frequently used. Creating procedures to follow for each repeated task in a munication: Communication with Attorney - weekly after onboarding for all current and future tasks. Client communication: Create emails, which can be sent automatically to give updates. Until we have automated or template emails to send, calling each client to give timely updates on a monthly basis. Working as part of a team to ensure that all tasks are completed within the timeframes. Communicate with other team members to ensure all tasks are completed within the deadlines.Recording time daily: Recording time for all tasks in our office management system. With a monthly goal of 120 hours (billable and nonbillable). QualificationsKEY COMPETENCIESRecent Paralegal experience: 3+ (2 is ok) years of experience as a paralegal and/or a certificate in the area of paralegal studies.Technology and software: RECENT Microsoft File Explorer, Microsoft Office including Word, Excel, Outlook, and PowerPoint and file types including PDF and JPG. Attitude: Eager, highly organized, calm, and efficient. Must be able to work pensation$34,125 - $40,950 yearly
