With the creation of our new umbrella organization we now have our own identity with a unique payroll, benefits, performance management system, service recognition programs and other common practices across the system. _Position Summary:_ Performs multi-dimensional administrative tasks that require creativity and independent, discretionary judgment to meet the needs of the Population Health department. This role requires excellent organizational skills, attention to detail, and a high level of service. Includes interactions with internal and external customers handling confidential information. Responsible for managing schedules, recording minutes, preparing reports, coordinating meetings, handling communications, and supporting various projects to enhance productivity and efficiency. This position supports the Vice President of Medical Affairs, Senior Director of Population Health Operations, and team. Position is primarily Monday u2013 Friday, days, with flexibility in scheduling required. Occasional evening availability is necessary with advance notice. This position contributes to the overall success of the organization by providing multi-dimensional, complex administrative support in a manner which requires self-direction, creativity and independent and discretionary judgment. _Position Responsibilities:_ Key Areas of Responsibility Clerical work 1. Managing schedules and calendars for multiple leaders 2. Coordinating meetings with internal and external stakeholders 3. Creates, prepares and distributes meeting materials to attendees, including: reports, agendas, PowerPoint presentations, meeting minutes 4. Attends required meetings and prepares comprehensive meeting minutes 5. Coordinates and secures travel arrangements including conference registration, flights, hotel and transportation for VP and team, as needed 6. Creating Excel and PowerPoint reports and presentations for leadership 7. Welcomes visitors and meeting attendees to suite, showing to appropriate offices and conference rooms 8. Assists with the onboarding of new team members including, but not limited to, ordering of IT equipment, completion of network access forms, inclusion of employee in relevant meeting series and coordination of meet and greets with key staff members 9. Accepts and distributes mail correspondence 10. Maintains office supply inventory and ordering 11. Orders computer and phone equipment as requested by leader 12. Composing correspondence via email and in person 13. Booking conference room, training and office spaces 14. Participates in the planning and coordination of team building/team educational activities 15. Participate in activities and completion of documents dealing with sensitive and confidential issues and information including Human Resources, Payroll, Timecards, or other issues impacting the organization Project work 1.
