Position SummaryThe Office Assistant provides essential administrative and operational support to the Piedmont Recreation Department (PRD). This role assists with program coordination, daily program operations, reporting, and general office functions to ensure efficient and effective delivery of recreational programs and services to the community. This position reports to the Recreation Coordinator responsible for contracted programs.Key ResponsibilitiesManage and support recreation program processes, including registrations, documentation, and data trackingPrepare, process, and maintain cyclical reports related to programs, participation, and departmental operationsSupport daily class operations, including scheduling assistance and communication with instructorsAssist with special projects as assigned by department leadershipProvide general office support, including filing, record maintenance, and document organizationAnswer and respond to emails and inquiries from staff, contractors, and the public in a timely and professional mannerCommunicate with contractors and vendors regarding schedules, documentation, and program needsMaintain accurate records and assist with data entry across department systemsAssist with planning and managing community eventsPerform other administrative duties as needed to support department operationsMinimum QualificationsHigh school diploma or equivalent requiredPrevious administrative or office support experience preferredProficiency with standard office software (Microsoft Office, Google Workspace, or similar)Strong organizational skills and attention to detailAbility to manage multiple tasks and meet deadlines in a fast-paced environmentExcellent written and verbal communication skillsAbility to work independently and collaboratively as part of a teamCustomer service-oriented mindset with a professional demeanorPreferred QualificationsExperience working in a recreation, parks, or municipal departmentFamiliarity with program registration or scheduling systemsExperience preparing reports or handling cyclical administrative processesWork EnvironmentWork is primarily performed in an office setting with frequent interaction with staff, instructors, contractors, and the public.
