Entity: CCA-Penn Primary Care and Penn Specialty Practices Department: Penn Princeton Neurology Plainsboro Location: Medical Arts Pavilion- 5 Plainsboro Road Hours: Full-Time Job Summary: The Certified Medical Assistant/ Receptionist is a position that has both clerical and clinical responsibilities. The clerical responsibilities include scheduling patient appointments; collecting and communicating patient demographic/insurance information; entering data on patient services and co-payments, payment reconciliation and deposits; processing referrals and precertification of procedures for a multi-specialty practice. The clinical responsibilities include providing care within Registered/ Certified Medical Assistant scope of practice to patients of Princeton Medicine. Accountabilities: Essential Job Duties and Responsibilities: + Facilitate patient flow from the front desk to the exam room, assist with procedures, answer patient calls and document in medical records. + Assume the role of a Certified Medical Assistant and/or a Medical Receptionist, as directed to meet practice needs. Clerical Responsibilities when in the role of Medical Receptionist: + Greet incoming patients and periodically walk through the waiting room to ensure that all patients have been checked in. + Ensure that new patients complete the appropriate intake forms and information is entered into the medical record accurately. + Verify patient identification and scan demographics/HIPAA information in medical record, including insurance cards. Update e-MDs demographic information at each patient visit. + Collect appropriate co-payments for managed care members, post payment and issue receipt. + Collect referrals, when appropriate and enter information into e-MDs. + Answer assigned telephone lines appropriately and promptly, transferring to the correct parties when necessary. + Check assigned voice mail lines for messages, returning calls promptly and following through with requests. Ensure that messages are clear and routed to the intended recipient. + Schedule patient appointments for all physicians by telephone, online or in person. + Schedule follow-up appointment and coordinate physician notes or referrals with appropriate front desk personnel. + Coordinate scheduling for procedures and testing, as ordered by physician. + Note cancellation/missed appointments in electronic chart and follow up with patient to reschedule. + Reschedule patients, when necessary, due to changes in physician schedules for reasons including, but not limited to, emergencies, vacations, seminars, and meetings. + Scan medical records and correspondence as needed. + Assist patients, physicians, department staff and other hospital staff with questions or problems, as appropriate. + Perform work accurately, thoroughly, and in accordance with Princeton Medicine and PHCS standards. Identify problems and refer them/offer suggestions appropriately. + Maintain a positive attitude and positive relationships with others. Support Princeton Medicine and PHCS initiatives and change efforts. + Maintain standards of confidentiality and participate in unit compliance. + Accountable for improving patient care through adherence to all patient safety and quality standards, regulations, and best practices. Clinical Responsibilities when in the role of Certified / Registered Medical Assistant: + Prepare daily room assignments, monitor and facilitate patient flow during sessions. + Track patients utilizing the e-MDs tracking board software program. + Room patients taking vital signs and weight, height, temperature, pulse Ox. + Revise /complete required data elements in the medical record during the rooming process. + Perform phlebotomy, preparation of specimens and data entry of tests and diagnoses. + Administer and record injections, including PPDs, flu shots and other vaccines. + Assist with Gyn exams/Pap smears, pulmonary procedures, cauterizations and suture removals. + Perform EKGs, vision, glucose, fecal occult blood and other in-house testing. + Maintain, clean, and stock exam rooms. Document exam room checks and supply expiration dates in logs. + Answer the emergency phone line. + Maintain the code cart. + Maintain library of patient education materials and distribute per physician instructions. + Receive, store and track drug samples and vaccines as required. + Assist physicians with procedures by providing consent forms and performing chaperone duties in accordance with established hospital and Princeton Medicine standards/policies. + Prepare electronic charts for the next day and review for completeness of medical forms, records, test results and any prior order requested by physician. + Provide back-up for front desk functions, including all duties of check-in, check-out, deposit preparation, answering the phones, scheduling appointments and handling managed care, referral/precertification activities. + Responsible for components of care within RMA/CMA scope of practice. + Develop and maintain knowledge of third-party coverage/managed care as necessary to facilitate patient care + Demonstrate growth in clinical skills and patient care. Attend appropriate continuing education programs to maintain certification and to develop skills and knowledge. + Maintain BLS/CPR certification and provide assistance in Code situation. + Pass and maintain hospitalu2019s mandatory educational competencies and departmental clinical competencies. + Support customer service and performance improvement goals of the department; collaborates with other caregivers/staff, within and outside the Department, to develop means of enhancing patient care and service. + Perform work accurately, thoroughly, in a timely manner, and in accordance with Princeton Medicine and PHCS initiatives and change efforts. + Maintain standards of confidentiality. + Possess the knowledge, skills and attitudes necessary to meet patientsu2019 needs. + Participate in Princeton Medicine and PHCS compliance protocols and follow all regulations of The Joint Commission. + Follow universal precautions, OSHA, Federal, State, HIPAA, JCAHO and hospital regulations. + Accountable for improving patient care through adherence to all patient safety and quality standards, regulations, and best practices. Performs duties in accordance with Penn Medicine and entity values, policies, and procedures Other duties as assigned to support the unit, department, entity, and health system organization Qualifications: + H.S. Diploma/GED (Required) + Current certification as Registered Medical Assistant/Certified Medical Assistant. (Required) + Two years of medical receptionist/front desk experience to include knowledge of medical terminology/abbreviations and physician office operations. (Required) + Associate's Degree and coding certification. At least two years previous RMA/CMA work.
