No County Wyoming Street Address Letchworth State Park 1 Letchworth State Park City Castile State NY Zip Code 14427 Duties Description Under the supervision of higher-level personnel, the Administrative Assistant 2 will serve as the administrative lead for the Genesee Regional Management Team. Duties include, but are not limited to:u2022 Provide administrative and clerical support to regional leadership. u2022 Answer phones; provide information to callers, take messages, and route calls to appropriate staff. u2022 Greet and assist visitors or callers, respond to inquires, and direct individuals to appropriate staff. u2022 Open, read, route, and distribute incoming mail and other materials; respond to routine correspondence and inquiries. u2022 Track, monitor, and coordinate assignments, projects, and requests to ensure timely completion. u2022 Set up and manager paper and electronic filing systems; maintain records, logs, and reference materials. u2022 Create, maintain, and update spreadsheets and databases to track program, fiscal, and administrative information. u2022 Maintain scheduling and event calendars; schedule and confirm meetings and appointments for staff and management. u2022 Schedule interviews and coordinate onboarding and offboarding tasks.u2022 Coordinate meetings, conferences, and special events, including logistics, meeting materials and room arrangements. u2022 Make travel arrangement for staff and prepare or process travel authorizations and expense reports in accordance with agency procedures. u2022 Prepare, proofread, and edit correspondence, reports, meeting minutes, and other documents to ensure accuracy formatting and style standards. u2022 Research and compile information for reports, presentations, and responses to inquiries. u2022 Order and maintain office supplies and inventory. u2022 Perform other administrative duties as assigned to support the effective operation of the office.u2022 Attend various meetings; take meeting notes and minutes. Minimum Qualifications High school diploma or high school equivalency diploma; and three years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office. Certification (e.g., IAAP Certified Administrative Professional), diploma, or associateu2019s degree in office administration, secretarial science, administrative assistance, paralegal business technology, or office technology substitutes for two years of experience.Your degree must have been awarded by a college or university accredited by a regional, national, or specialized agency recognized as an accrediting agency by the U.S. Department of Education/U.S. Secretary of Education (If your degree was awarded by an educational institution outside the United States or its territories, you must provide independent verification of equivalency.
