Collaborating with other public agencies and not-for-profit partners, DHS works to prevent homelessness before it occurs, reduce street homelessness and assist New Yorkers to transition from shelter into appropriate permanent housing. Facility & Logistics (F&L) division is responsible for providing both direct and indirect maintenance and repair services to City owned and operated facilities using in-house skilled trade-workers, maintenance contracts, inspectors and purchasing operation. DHS is hiring one (1) Project Manager Level I to work within Facilities and Logistics and serve as administrative support to the Executive Director of Facility Maintenance and perform but not limited to the following tasks: - Manage calendars, schedule meetings, track assignments, and coordinate communications. - Maintain organized filing systems and oversee daily office workflow for maintenance operations. - Draft internal memos, compile reports, and assist in preparing presentations and agency submissions. - Support inventory management, including stock levels, tool tracking, and materials intake. - Coordinate with warehouse personnel and trades staff to fulfill work orders and emergency material needs. - Track warehouse deliveries and reconcile purchase orders with receipts and logs. - Maintain logs for trade fleet vehicles, including mileage, fuel usage, service history, and insurance documentation. - Ensure vehicle availability and documentation for trades and emergency response needs. - Assist with planning and tracking of maintenance initiatives, staff agency events or agency-wide special projects as needed. - Maintain project documentation, assist with vendor scheduling, and track key milestones. - Coordinate internal logistics such as material staging, project kickoff walkthroughs, and inter-agency communications. - Track and log contractor presence, scope of work, and hours related to expense-funded maintenance and repair contracts. - Assist with processing invoices, verifying field completion, and maintaining contractor compliance documentation. - Serve as administrative liaison between the facility, procurement unit, and field supervisors for expense vendors. - Ensure accurate and timely documentation of work orders, vendor logs, inspections, and compliance trainings. - Support timekeeping coordination, attendance logging, and onboarding documentation for new staff. - Maintain digital archives and assist with reporting for audits, inspections, and agency deadlines Monday u2013 Friday 9am u2013 5pm PROJECT MANAGER - 22426 Qualifications 1.A baccalaureate degree from an accredited college in engineering, engineering technology, architecture, landscape architecture, architectural technology, construction, construction management, construction technology, sustainable design, urban planning, urban studies, city planning, transportation planning, business administration, or public administration, and one year of full-time satisfactory experience in project management work, such as planning, administering, managing, coordinating, or expediting, for engineering and/or architectural and/or landscape architectural projects; or 2. A four year high school diploma or its educational equivalent and five years of experience as described in
