Job Description

Job Purpose Provide administrative support for areas under Manager, Power Generation. Specific Responsibilities 1. Perform administrative functions, including: 1. Answer phones, screening, and routing as needed. Take messages or assist callers as appropriate. 2. Manage calendars, schedule meetings, and distribute departmental reports as directed. 3. Create and send out correspondence as directed, maintaining correspondence files as needed. 4. Provide task follow-up, reminders, and other assistance for renewal of contracts, agreements, regulatory, and other items. 5. Assist departments in collecting, organizing, verifying accuracy, and updating documents as requested. 6. Keep accurate minutes from staff, safety, departmental and other meetings as requested. 7. Maintain electronic and paper filing systems as directed, ensuring documents are saved or scanned in the Utility's document management system. 8. Coordinate and schedule travel, catering, webinars, and meeting set-up as requested. 9. Enter payroll information for assigned areas. Provide back-up payroll entry as needed for other departments. 10. Maintain supplies and enter purchase and material requests for items needed in the computerized maintenance management system (CMMS). 11. Serve as Notary Public for the Utility as applicable. Department-Specific Responsibilities: 1. Distribute monthly Budget Variance Reports and assist with the preparation of annual Generation Budget Report. 2. Manage reservations for plant vehicles. 3. Maintain petty cash fund at Generation site. 4. Assist gate personnel with visitors and paperwork, contacting proper personnel when needed. Other Responsibilities 1. Function in Manager's and Director's fullest confidence while handling confidential information and files. 2. Provide backup for administrative staff in other departments. 3. Other duties as assigned. Qualifications Knowledge 1. Associate's degree required, or equivalent combination of education and experience required. 2. Minimum 3 years of administrative support experience. 3. Must have base knowledge, or ability to acquire and maintain base knowledge, of MPandW policies and procedures. 4. Knowledge of the Collective Bargaining Agreement. Skills 1. Excellent verbal and written communication skills. 2. Excellent interpersonal and listening skills, with ability to build productive professional relationships and promote a team atmosphere. 3. Proficiency with use of Microsoft Outlook and Microsoft Office Word, Excel, and PowerPoint at an intermediate level. 4. Must be very skilled in proofreading, analysis, and extremely detail-oriented. 5. Excellent judgment and reasoning skills. 6. Problem identification, analysis, and solving. 7. Strong organizational skills. 8. Strong customer service skills. Abilities 1. Ability to work independently, effectively prioritize work, manage multiple tasks, meet deadlines, and adjust work priorities as needed to meet department/organizational objectives. 2. Ability to make decisions when needed, with support and guidance from Management team. 3. Ability to drive results and ensure work is accomplished properly, safely, and in a timely manner. 4. Ability to coordinate and lead a meeting using effective meeting principles, including preparation, creating agenda, follow-ups, etc. 5. Ability to function as a role model and mentor for other Administrative Assistants. 6. Knowledge and confidence to be a team leader or project leader to achieve common goals. (ex: Wellness, EAC, BIT, etc.) 7. Continuously explore new ideas, seek additional knowledge, and skill development opportunities. 8. Ability to use discretion in maintaining confidentiality and handling sensitive information. 9. Positively represent the Utility's presence in the community through active involvement with internal/external committees and participation in community events. (ex: United Way, Chamber, Blue Zones, etc.) 10. Ability to efficiently operate office equipment such as multi-line phone system, scanner, 10-key, copier, fax machine, etc. Other Position Requirements 1. Must possess a valid driver's license. 2. Must be able to attend work on a regular basis and work overtime as requested. Work Environment 1. Work environment is primarily in an office environment.
