Description The Tenant Service Administrator performs administrative functions relating to the daily operation of a 38-story office/retail building in a u201cFirst Classu201d manner, and provides administrative and project support to the General Manager (GM) and Property Manager (PM). POSITION RESPONSIBILITIES: u2022 Responsible for Building Management Office Opening and Closing process u2022 Acting as first contact for tenant service calls u2022 Direct tenant service requests to engineering, vendors or janitorial staff (via radio & iPhones) u2022 Tenant and vendor relations, including drafting correspondence as directed by General Manager or Property Manager u2022 Code and process all invoices, including entering in MRI Accounting System u2022 Request W-9 and OFAC (Office of Foreign Assets Control) forms from new vendors and contractors to set up in accounting system u2022 Maintain accurate and complete Building Office files and records u2022 Issue parking garage validations, as directed by General Manager or Property Manager u2022 Maintain Vendor and Emergency Lists u2022 Maintain certificate of insurance file, ensuring current copies on file for all vendors u2022 Open and distribute incoming mail u2022 Produce purchase orders for all contract materials or services ordered u2022 Prepare memos and notices to tenants in building u2022 Assist in coordination of tenant events, deliveries, and moves u2022 Process building access requests (for after-hours or building staff assistance) u2022 Maintain and print daily Building Notes and Calendar u2022 Assist with tenant move-ins (keys, welcome event, Building Engines and BluBky set-up) and move-outs u2022 Assist in budget preparation u2022 Obtain vendor bids for special work and/or regular services, where needed to fulfill tenant service requests u2022 Prepare vendor service contracts and maintain contract summary u2022 Respond to vendor calls regarding outstanding invoices u2022 Responsible for maintaining Energy Star Portfolio Manager u2022 Maintain record logs and collect various data reports to maintain LEED certification u2022 Assist General Manager or Property Manager in above duties for other managed properties, as needed u2022 Other duties as may be assigned by the General Manager or Property Manager Skills property management, administrative support, customer service Top Skills Details property management, administrative support, customer service Additional Skills & Qualifications Skills: Computer literate in Outlook, MS Word, Excel, and MRI a plus. u2022 Very good written and oral communication skills. u2022 Strong customer service skills. u2022 Must be able to multi-task in a fast paced environment. u2022 Must be organized, self-motivated and be able to work well with others. Experience Level Intermediate Level Job Type & Location This is a Contract position based out of San Francisco, CA. Pay and Benefits The pay range for this position is $25.00 - $25.00/hr.
