Description We are looking for an experienced Executive Assistant to join our team on a long-term contract basis in Salinas, California. This position requires a resourceful and detail-oriented individual who can provide high-level administrative support to the Technology Department and contribute to its smooth operation. Responsibilities: u2022 Provide comprehensive administrative and operational support to the Technology Department, ensuring efficiency in day-to-day activities. u2022 Act as a liaison between the administrator and external stakeholders, including public agencies, community leaders, and other departments. u2022 Independently draft detailed reports, correspondence, memoranda, and agendas. u2022 Organize and maintain accurate records, files, and departmental budgets, including preparing budget revisions and monitoring expenditures. u2022 Process purchase requisitions, invoices, payroll reports, and employee attendance records. u2022 Coordinate and prepare materials for meetings, including board agendas and minutes, ensuring timely distribution. u2022 Manage the administrator's calendar and appointments, as well as arrange meetings and travel schedules. u2022 Train and assist staff with clerical duties, including cross-training for critical functions. u2022 Handle special projects and tasks assigned by the supervisor with attention to detail and efficiency. u2022 Utilize Office tools to create and manage documents, spreadsheets, and presentations effectively. Requirements u2022 Minimum of 2 years of experience in an executive assistant or similar administrative role. u2022 Proficiency in Office Suite, including Word, Excel, and PowerPoint. u2022 Strong organizational skills with the ability to manage multiple priorities and deadlines. u2022 Excellent written and verbal communication skills. u2022 Experience in calendar management and coordinating travel arrangements. u2022 Ability to independently compile reports and draft thorough correspondence. u2022 Detail-oriented with a proactive approach to problem-solving. u2022 Familiarity with meeting preparation, including agendas and minutes, is highly desirable.
