Job Description Serves as general office administrative assistant to the Dean of Teaching and Learning, School Chairs, and Academic Faculty. Job Duties 1. Maintain professional working relationships with college personnel, students, and community partners.2. Provide courteous, student-centered service during interactions, ensuring timely and professional assistance.3. Process purchase requisitions, check requests, travel requests, activity forms, leave forms, and related documents in accordance with college procedures.4. Remain current on college purchasing policies and procedures and ensure compliance in all purchasing activities.5. Process procurement card purchases and prepare and review procurement card statements for accuracy and completeness.6. Prepare and maintain accounting ledgers for assigned accounts.7. Verify and monitor assigned college budgets for accuracy and compliance.8. Purchase supplies and equipment and maintain accurate and detailed purchase records.9. Maintain inventory records for the Department of Teaching and Learning.10. Prepare semester electronic schedules using Banner.11. Monitor student attendance reports and provide administrative support to faculty for attendance-related processes and documentation.12. Maintain an accurate, organized, and complete filing system in accordance with record-retention requirements.13. Prepare correspondence, reports, and meeting minutes; create and maintain spreadsheets; and maintain organized departmental records and documentation.14. Process administrative requests from the Dean of Teaching and Learning, School Chairs, and faculty.15. Manage incoming telephone calls in a professional and efficient manner.16. Operate and maintain academic department equipment, including copy machines, and complete required usage reporting.17. Coordinate college vehicle use, registrations, transportation, reservations, and lodging in accordance with established procedures, and as needed.18. Assist with maintaining academic employment records for the campus in compliance with college guidelines.19. Participate in employee development activities and complete a minimum of 15 hours of Employee Development training annually.20. Provide clerical and administrative support to coordinators (, Art Gallery, Auditorium, Community Arts Center) as needed.21. Adhere to established work schedules, attendance requirements, and college policies.22. Collaborate effectively with other administrative assistants to ensure continuity of operations and provide mutual support as needed.23. Perform other duties as assigned by the Dean of Teaching and Learning and Campus Vice President. Mandatory Qualifications (M1) A minimum of an Associate Degree from an accredited higher education institution.(M2) At least two years of recent office work experience.(M3) Applicable budget management and purchasing experience.(M4) Advanced proficiency in the Microsoft Office suite, including Word, Excel, Outlook, and PowerPoint.(M5) Demonstrated written and verbal communication skills. Desirable Qualifications (D1) Bachelor’s Degree from an accredited higher education institution.(D2) Experience using Banner Software.(D3) Experience with inventory systems.(D4) Experience working in a higher education environment.
