Description We are looking for a Patient Administrative Specialist to join our team on a contract basis in Palo Alto, California. In this role, you will be responsible for ensuring smooth front-office operations, including patient coordination, surgery scheduling, and administrative support in an outpatient clinical setting. This position requires excellent organizational and communication skills to provide a seamless experience for patients and healthcare providers. Responsibilities: u2022 Welcome patients upon arrival, assist with check-in and check-out processes, and address initial inquiries regarding appointments, payments, and schedules. u2022 Coordinate surgery scheduling and manage provider preferences to accommodate urgent patient needs. u2022 Maintain and update clinic databases, directories, and internal forms to ensure accurate documentation. u2022 Respond to non-clinical patient and CRM messages, escalating cases as necessary to the appropriate team. u2022 Provide administrative support to healthcare providers using reference tools and documentation. u2022 Manage and distribute incoming faxes, mail, and other clinic-specific documents. u2022 Ensure service standards are met or exceeded in alignment with organizational goals. u2022 Handle multi-line phone systems to route incoming calls and respond to inquiries efficiently. u2022 Support daily clinic operations by maintaining accurate records and facilitating communication between teams. u2022 Execute customer service tasks with professionalism, prioritizing patient satisfaction and problem resolution. Requirements u2022 High school diploma or equivalent educational qualification. u2022 Familiarity with medical terminology and its application in administrative tasks. u2022 Proficiency in using Windows-based office software and other computer systems. u2022 Strong verbal and written communication skills tailored to different audiences. u2022 Ability to manage multiple priorities effectively while maintaining attention to detail. u2022 Experience in providing exceptional customer service and solving administrative challenges. u2022 Capability to remain calm and attentive to detail in high-pressure situations. u2022 Knowledge of electronic medical records (EMR) systems and multi-line phone operations.
