Front Desk SupportMaintains the front lobby of the Glen Burnie, MD office as a World Class Business environmentProvide great customer service to everyone who comes into the building Responds to all incoming phone calls providing 100% customer satisfactionEnsure all visitors have checked in and received a badge prior to meeting with the Vision teammateMaintain front desk policies and continuously seek improvement General Office Support Sort and distribute incoming mail and postmark outgoing mail as and when requestedCreate Priority Mail & FedEx shipping labels as and when requestedMaintain postage meter, mailing, kitchen and office supplies Maintain cleanliness and stock in kitchen and conference roomsSupport the marketing team with planning and execution of office events Ensure all food is ordered in a timely and cost-effective manner, for meetingsGeneral support of office team where applicableTravel & Expense Support Own our travel program in partnership with our finance teamProvide great customer experience for our travelers, identifying gaps and working to resolve Maintain our Travel Newsletter, Travel Communication and Travel Policy Collaborate with our travel partners as their main point of contact within Vision Support team travel scheduling in a timely and cost-effective mannerCode and submit expense reports for all corporate travel, postage, office/kitchen supplies and meeting food order charges weeklyRequirements: Minimum of 3-5 years’ experience as a receptionist and/or office management Experiencing answering and routing inbound phone callsExcel and Word software experienceStrong problem-solving and troubleshooting skillsAttention to detail and excellent communication and interpersonal skillsPhysical Demands:The physical demands of this position are those that are necessary to meet the responsibilities and essential functions of this position, which sometimes include lifting objects over 20 pounds.
