Candidates should be able to be on ground in Washington DC for the entire project duration in May and June 2026 OR July and August 2026 (travel and accommodations provided). This application is not for full-time employment. The Technical Coordinator provides administrative and operational support to technical teams, collaborating with key suppliers and team members, and maintaining communication and reporting with the Event Leadership Team. The Technical Coordinator will work closely and collaboratively, and cross-over between focus areas within the department. The role will rely heavily on administrative and document creation, tracking and data reporting and retention, operational plan creation and updates, and post-event reporting: Responsibilities: + Advance elements of the event, including RFP development, procurement, schedule management, supplier advancing, project communications, drawing development and more. + Administrative oversight: Revising quotes, tracking change orders, submitting quotes, aligning internal personnel, vendors, suppliers, and team members. + Develop and oversee a variety of client documentation, decks, presentations, and operational plans. + Co-create, edit, and update technical packs for stages. + Data reporting and retention including department specific tracking documents, vendor lists, collation of documents on shared cloud servers, organization of department files and filing systems + Develop relationships with all departments, key suppliers, partners and client in order to achieve results. + Support the intake and filing of work in progress, working/original, and final designs and packs on server for access + Participate in the planning and execution of technical installation (of specific projects/areas), build & dismantle of project. + Develop after-actions reports and presentations + Assist Technical Producer, Producer & Technical Direction team + As time permits, assist in pre-production on other areas of the show, as required and as the project develops. Position Requirements: + Bacheloru2019s degree, 3-4 years minimum of event coordinator experience or similar of increasing levels of responsibility. + Have excellent interpersonal & communication skills, both verbal & written + Positive, u201ccan dou201d attitude. + Ideal candidate would have past experience as a production coordinator on large scale, u201cmega eventsu201d in professional sports, live entertainment, festivals, or similar. + Computer skills: Macintosh OS or Window platform using Microsoft Office, especially Outlook, Excel, and Powerpoint + Experience using AirTable, Google docs, or similar database and tracking software. + Flexibility to work irregular hours, including evenings, weekends, and holidays, based on event schedules. + Ensure that all work conforms to pre-established specifications & standards of TAIT. + Take initiative, multi-task, and work positively in a fast-paced environment. + Work with discretion, diplomacy, confidentiality, and tact in high-pressure settings. + Demonstrate a sense of urgency & act responsively. + Work independently as well as within a team environment. + Supremely organized, detail-oriented, and thorough.
