Job Description

A private, active Bay Area family of four with a strong appreciation for the outdoors and a nature-driven lifestyle is seeking a highly polished, service-driven Estate Manager to join their team and work in collaboration with their current Estate Manager. This individual will play a pivotal role in ensuring the seamless operation of a 14,000 sq. ft. primary residence, while supporting a portfolio of five additional properties, all maintained to a luxury hospitality standard comparable to a European five-star hotel. The general schedule will be Monday through Friday with a 24/7 mindset. Some weekend coverage will be required.This is a unique opportunity for a top-tier professional to bring structure, discretion, and operational excellence to a dynamic and evolving household.Include, but are not limited to:Property & Estate ManagementOversee the maintenance, repair, and overall condition of all residences and groundsCoordinate renovations, landscaping, and seasonal projectsEnsure each property is fully prepared beforethe principal’s arrivalDevelop, refine, and maintain comprehensive household checklists and systemsOversee maintenance schedules for vehiclesIdentify opportunities to enhance home technology and manage implementationVendor & Contractor ManagementSource, vet, hire, and supervise vendors and subcontractorsNegotiate contracts and manage service agreementsEnsure all work meets established standards and timelinesSecurity & Risk ManagementCollaborate with external vendors to maintain and enhance estate security systemsImplement and manage emergency preparedness and risk mitigation protocolsPrincipal & Office LiaisonServe as the primary point of contact between the principals, family office, and vendorsAnticipate needs and respond promptly with discretion and professionalismHousehold Operations & LeadershipOversee and support the household staffDevelop and implement house manuals to ensure operational continuityProvide regular (weekly) status reports across all propertiesMonitor household patterns, including seasonal usage and weather-based transitionsManage budgets over time, with increasing responsibilityPet care as needed (feeding dogs and chickens)Minimum 7+ years of experience as an Estate Manager, Household Manager, or similar roleStrong leadership, organizational, and communication skills (written and verbal)Proven ability to implement systems and manage complex operationsDeep understanding of property maintenance, landscaping, and luxury service standardsExperience with vendor sourcing, negotiation, and managementTechnologically proficient with the ability to oversee smart home systemsHighly detail-oriented, intuitive, and proactiveExcellent interpersonal skills with a service-oriented mindsetCollaborative team player who can also work autonomouslyDemonstrates discretion, confidentiality, and professionalism at all timesFlexible schedule, including evenings, weekends, and holidays as neededPet/Animal friendly - The family has dogs and chickensValid driver’s license with a clean driving recordAbility to travel as neededFlexibility with the schedule requiredMust be based within a reasonable commuting distance to the main residenceWillingness to undergo a background checkMust sign a Non-Disclosure Agreement (NDA)Legal to work in the U.S.The family is offering a competitive compensation package starting at $200k+ commensurate with experience.
