Job Description

Major Duties & Responsibilities: u00b7 Provides administrative and document archiving support for project management and other program staff. u00b7 Greet visitors. u00b7 In charge inbound and outbound phone calls. Scheduled appointment (inbound calls) u00b7 Assist program staff with general office administration duties including, but not limited to, making copies and scanning documents, scheduling meetings and appointments, order supplies and coordinate incoming and outgoing mail. u00b7 Support by contacting the Case Managers, coordinating appointments and referring walk in. meeting scheduling u00b7 Implement, maintain and oversee the applicant file system and file applicant documentation according to current document archiving procedures. u00b7 Assist with training new Administrative staff, to properly support the documentation management, utilize the applicant file system on Canopy and perform office administration duties. u00b7 Assist program staff with locating and pulling applicant documentation from program database systems. u00b7 Receives and scans drop off documents/notifies CM of drop off via teams. u00b7 Schedule appointments with Notary Attorney. u00b7 Monitors appointments flows and reassigns appointments if needed (CM is busy) u00b7 Distributes and control Affidavits forms to applicants the days we have appointments and sends report to the Policy Analyst and the Subcontract Administrator. u00b7 Announces via teamsu2019 applicantu2019s arrival to the pertinent CM u00b7 Provides Case status to walk ins using Canopy if CM is busy (almost always) u00b7 Escalate issues to the Deputy Program Manager, as necessary. u00b7 Actively participate in all relevant planning, status and program meeting u00b7 Perform other duties as assigned Required Skills: u00b7 Ability to acquire a working knowledge of applicable rules and regulations and the ability guidance to homeowners on program policy and procedures. u00b7 Ability to articulate details of the program in person, over the phone, and in written communication in a manner that is understandable by persons of differing backgrounds and education levels. u00b7 Ability to read, write, and speak English and Spanish. u00b7 Ability to work successfully with socio-economic diverse populations. u00b7 Knowledge, skills and abilities necessary to perform the job function with little to no supervision, while remaining acutely aware of the timeliness, meeting deadlines and performance measures. u00b7 Highly organized and detail-oriented. u00b7 Excellent written and oral communication skills, strong analytical skills and effective interpersonal skills. u00b7 Strong customer service skills and knowledge of customer service best practices. u00b7 Ability to maintain confidentiality of program information.u00b7 Proficiency with Microsoft Word, Excel, Outlook and Internet u00b7 Proficiency with Microsoft Word, Excel, Outlook and Internet. Qualifications: u00b7 Two yearsu2019 experience providing customer service or performing in a role that required extensive public contact. u00b7 Bacheloru2019s or Associate degree from an accredited college or university -Bilingual (English & Spanish) -Strong computer skills required.
