Job Title: Data Entry Accounting Coordinator Job Description The Data Entry Accounting Coordinator accurately processes and records vendor invoices, payments, and related transactions while ensuring compliance with company policies and internal controls. This role supports a high-volume, multi-branch operation and plays a key part in maintaining strong vendor relationships and supporting the broader accounting and finance team. Responsibilities + Review and verify invoices and check requests for accuracy, proper coding, and appropriate authorization. + Enter and upload invoices into the accounting system in a timely and accurate manner. + Process payments in accordance with payment terms and company policy, including checks, ACH, and wire transfers. + Reconcile vendor statements regularly and resolve discrepancies promptly. + Respond to vendor inquiries professionally and maintain positive, collaborative relationships with suppliers. + Assist with month-end closing activities, including preparation of accruals and related reporting. + Maintain organized and accurate records of all accounts payable transactions for audit and reporting purposes. + Ensure compliance with internal controls, company policies, and audit requirements throughout the accounts payable process. + Support other accounting and finance functions as needed, contributing to team projects and process improvements. Essential Skills + 1u20133 years of data entry + Proficiency with 10-key data entry and strong numerical accuracy. + Familiarity with accounting software such as JDE, QuickBooks, SAP, Oracle, or NetSuite. + Proficiency in Microsoft Excel and other Microsoft Office applications. + Strong attention to detail and a high level of accuracy in data entry and recordkeeping. + Excellent organizational and time management skills with the ability to handle multiple tasks and deadlines. + Good communication and interpersonal skills for effective interaction with vendors and internal teams. Additional Skills & Qualifications + High school diploma or GED required. + Experience working in a shared services or multi-location environment is beneficial. + Ability to follow established procedures while identifying opportunities for process improvement. + Comfort working with various accounting systems and adapting to new technologies. Work Environment This position is based in a regional headquarters that provides shared services support for more than 40 branches across the United States. The environment is fast-paced and collaborative, with a strong focus on accuracy, efficiency, and service to internal stakeholders and external vendors. You will work primarily with accounting software, Microsoft Office applications, and electronic payment platforms in an office setting that supports a high volume of accounts payable activity.
