About the role: As a CBRE Workplace Experience Coordinator, you'll beresponsible for delivering a world-class customer service experience toemployees and guests of a designated building. This job is part of theWorkplace Experience function. They are responsible for providing world-classcustomer service to the clients and visitors of a designated building. What Youu2019ll Do: First point of contact for all those entering the workplace.Making a memorable first impression by greeting guests with a friendly andwelcoming demeanor, engaging with eye contact. Partner closely with securing support with any accessneeds for employees or visitors. Support in answering the telephone in a professionalmanner and directing inquiring calls to the right contact. Focus on delivering an elevated hospitality experience byproviding genuine, authentic yet professional interaction with everyone. As CBREu2019s workplace team, we provide recommendations andsolutions across the organization. Theremay be projects that arise, where you will support in developing presentationsand speaking to various-sized groups. Knowledgeable of the building, workplace, and neighboringareas. Ensure you are aware of key contacts and methods ofcommunication for our strategic partners regarding requests and escalations Arrange and confirm recreational, dining, and businessactivities on behalf of the requestor. Conduct daily walk throughs with a keen eye for detail,reporting and following up with the appropriate vendor or teams. Manage janitorial or maintenance work orders as needed.Coordinate and execute workplace services including mail, office supplyservices, pantry needs, amenities, welcome tours, etc. Acknowledge inquiries or complaints from employees,guests, and co-workers. Provide solutions in a professional customerservice-driven manner. Proactive nature. Anticipates the needs of our guests /clients and offers solutions or support without asking. Takes ownership of tasks or issues and follows up toensure it is complete/closed. Demonstrates emotional intelligence among interactions. Communicate daily with executive assistants, key bookersand at times, COOs and other C-Suite Executives Organize and manage on-site events and activations, asneeded. This includes securing event space, set up and tear down of the room,and delivery of supplies. Follow property-specific security and emergencyprocedures. Notify appropriate parties to ensure the safety of all individualsin the building. Coordinate with vendors who supply services or goods tothe workplace. Explain detailed and/or complicated information withinthe team. Follow specific directions as given by the manager. Impact through clearly defined duties, and methods andtasks are described in detail. Use existing procedures to solve straightforwardproblems while having a limited opportunity to exercise discretion. Ensure all details are accurate in shared calendar ormeeting system and updated as reiterations are sent in. Actively monitor mailboxes, ensuring all emails areresponded to and actioned within 24 hours. Provide catering menus to bookers and be proficient inanswering their questions. Attention to detail is critical in indicatingdietary and allergen requests Proactively researches our clients and visitors andcommunicates to the team when VIPs are visiting. Preferences are indicated andstandard arrival template is shared. Responsiblefor meeting room preparation and resetting to ensure each meeting has the sameexperience, in charge of coordinating room bookings and managing cleanlinessand aesthetic standards of the client face spaces Assistingwith activations, displays and celebrations within the workplace Checkinggovernment issued identification upon arrival of external guests Communicatingdirectly with clients when registered/unregistered visitors have arrived What Youu2019ll Need: High School Diploma or GED with up to 2 years ofjob-related experience. Ability to follow basic work routines and standards inthe application of work. Communication skills to exchange straightforwardinformation. Working knowledge of Microsoft Office products. Examplesinclude Word, Excel, Outlook, etc. Strong organizational skills with an inquisitive mindset. What To Expect: The position requires on-site support five days a week,Monday u2013 Friday.
