Job Description Job ID#: 26827 Job Category: Human Resources Position Type: Contract/W-2 Duration: 6 months Our client: Our client is a community renewal organization that is dedicated to the revitalization of neighborhoods and communities throughout New York State, and they are looking for aHuman Resources Assistantto join their team. This is a temporary position (W2 Only) inManhattan, NY, just blocks from Rockefeller Center. The contract is expected to last6 monthswith the possibility of converting to permanent, depending on the Governor's future initiatives in this area. Pay rate for this role is$28/hr. The position is part-time, 4 days a week onsite. Schedule is flexible but would need to include Thursdays. Hours: 9-5 (Preferred, can be flexible). No OT What to Expect as a Human Resources Assistant: Support the Human Resources department with general administrative duties including data entry, data management, filing, and customer service. Answer phone calls and respond to email inquiries as directed. Assist with mail distribution, including tax and pension documents. Manage and order office supplies for SHA HR staff. Assist with typing and document preparation projects such as canvass letters, PAF's, new hire letters, FMLA letters, civil service and/or NYSLERS requests, memos, and other materials daily. Distribute HR memos to staff as directed. Enter Helpdesk and/or ITSM2 tickets for HR staff. Request SLMS accounts for new hires. Assist with posting agency job positions on ADP, HCR, and State websites as needed. Review, qualify, and distribute resumes from shared mailboxes and posting platforms for the HR Specialists. Communicate effectively with agency units and vendors to support HR operations. Update and maintain HRIS systems (PIMS, FoxPro, SAP) as directed. Handle all confidential information in support of Human Resources functions. Create, manage, and maintain SHA personal history files daily. Create and maintain CASO documents and filing systems daily. Coordinate with Facilities bi-annually to close out and store off-site separated (term/retired) employee personnel files Process SHA reimbursement program documents weekly. Manage NYSLERS enrollment processing as needed. Liaison with Accounting to coordinate and process annual enrollment initiatives (Option Transfer, Cash-In for Wellness, Vacation buyback, AFLAC, etc.) Create spreadsheets for yearly open enrollment initiatives and coordinate processing with employees and accounting staff. Assist with the preparation of annual internal controls. Liaison with and assist the Office of Legal Affairs with the annual financial disclosure process Assist with ad hoc projects (reports, presentations, events, etc.) as needed. Facilitate bi-annual HR clean-up/shredding process, etc.). Qualifications for Success: The ideal candidate must be familiar with Microsoft Word, Excel, and Outlook. ExcellentOrganizational,Communication skillsare a MUST. At least two years' experience in a fast-paced, highly administrative office performing support staff tasks. Ability to work effectively with members of the Human Resource Team and other internal departments. Candidates must show initiative and willingness to take on new tasks as directed.
