Under limited supervision, the Accounts Payable Specialist performs accounting,administrative, and analytical tasks in support of the Southwest Business Unit, ensuring accurate and timely processing of accounts payable activities. This person will report to the Office Services Manager. his person will report to our Long Beach office, and has the opportunity to work hybrid, with a minimum of 3 days a week being in our Long Beach office.• Process accounts payable for the Southwest Business Unit, including:o Opening and reviewing daily mail/email and preparing documents for paymento Obtaining proper approvals for paymentso Preparing purchase and service orders in Vantagepointo Preparing, reviewing, and entering AP vouchers using the Vantagepoint Purchase Order moduleo Preparing accounts payable vouchers in pdf for manual batches and processing in Vantagepointo Submitting complete AP batches to Corporate daily as completed and according to twice-monthly scheduled deadlinesVendor and Payment Management• Set up new vendors, including obtaining W-9 forms, vendor documentation, and insurance certificates• Review “Hold” and “Pay When Paid” reports and release payments as appropriate• Research and resolve complex payment issues and vendor statements• Respond to vendor inquiries regarding payment status and related matters• Process wire payments• Process License and membership renewalsAdditional Responsibilities• Prepare and process hand-check requests• Assist staff with credit card purchases, travel arrangements, and other administrative requests• Provide administrative office support as needed, including assistance to the Long Beach Production DepartmenMinimum of 2 ears of accounts payable or general accounting experience preferredExperience working in a high-volume, deadline-driven environment preferredPrior experience with Deltek Vantagepoint and/or Vision strongly preferredExperience working with purchase orders, vendor maintenance, and payment processingProven ability to resaesrch and resolve payment discrepancies and vendor issuesUSD $27.00 - USD $30.00 /Hr.Please note that our pay ranges are determined by several factors, including relevant experience, internal pay equity, and location.
