The Administrative Coordinator will manage multiple priorities simultaneously, support document workflows, and handle general administrative tasks. District Overview Kiewitu2019s Northern California District is one of Kiewitu2019s leading infrastructure districts specializing in various types of work in the heavy civil, power, transportation, and water resource markets. Although most of our work is regionally based in Northern California, we also pursue various projects across the west coast. Location This position will be based in one of our Milpitas office location. Responsibilities u2022 Provide day-to-day administrative support for assigned construction projects, office leadership, and internal teams. u2022 Serve as a key point of contact for office operations, including ordering and maintaining office supplies, coordinating vendors, and supporting general office needs. u2022 Prepare for and support meetings, including scheduling, room setup, materials preparation, and follow-up as needed. u2022 Support document workflows (e.g., submittals, revisions, tracking, uploads, naming conventions) as needed, ensuring accuracy and timeliness, but not as a primary focus. u2022 Collaborate with team members on key initiatives and provide administrative support for ongoing projects. u2022 Provide support for additional administrative and office-related tasks as needed to ensure smooth daily operations. Qualifications u2022 Prior administrative support experience required; experience supporting an office or project-based team strongly preferred. u2022 Strong organizational skills with a high level of attention to detail. u2022 Ability to manage multiple priorities and deadlines in a fast-paced environment. u2022 Strong written and verbal communication skills. u2022 Proficiency in Microsoft Office (Outlook, Excel, Word, Teams). u2022 Demonstrated ability to meet deadlines and manage competing demands effectively. u2022 General familiarity with document workflows or document control processes, preferably in a construction or project-based environment. u2022 Comfort working with office and peripheral technology, including printers, scanners, and A/V equipment. u2022 Ability to work effectively with employees at all levels of the organization, including senior leadership. u2022 Ability to maintain strict confidentiality of sensitive information and materials. u2022 Positive, proactive team player with an interest in supporting team connectivity and overall office effectiveness.
