Please contact Human Resources if you require an accommodation.BASIC FUNCTION:Carry out day-to-day project assistant function and other contract administrative tasks contributing to the overall contracting and procurement function.WORK PERFORMED:u2022 Review of Requisitions u2022 Review Commitment Request and Contract packagesu2022 Follow-up with originating departments to obtain missing contract documentsu2022 Perform administrative tasks associated with collecting proposal submissionsu2022 Assist Procurement Directors to manage bids after submission of proposalsu2022 Review administrative proposals received for conformity and completenessu2022 Set up respondent proposal + interviews scoring meetings/compiling scoring sheets/update procurement drive records, at the request of the Procurement Directoru2022 Complete projects, tasks, and other duties as assigned by direct supervisoru2022 Cross Training New Hires and Originatorsu2022 Data Entry, Data Review, and Files Organizationu2022 Prepare, proofread and coordinate production and distribution of reports, agendas, presentations and other documents as needed. Ensure meeting materials are complete, orderly, and available in advance of each meetingu2022 Coordinate with other departments and across ESD as needed to ensure proper submittal and timely handling of required paperwork, including, but not limited to, purchase requests, payment authorization forms, tax exemption forms, shipping receipts and other office documents in a timely fashion Minimum Qualifications Education Level required: High School Diploma or equivalent; Associate degree preferred.Knowledge required: 1-2 years of administrative and/or customer service experience. Familiarity with databases and basic computer programs; Microsoft Word, Excel, PowerPoint and Access.
