Summary The position is located at the Chalmers P. Wylie VA Ambulatory Care Center in Columbus, Ohio within the Central Ohio Health Care System. The Program Support Assistant (PSA) assists with and supports all administrative aspects of the Eye Care operations, including data management, performance improvement, effectiveness, quality initiatives, contractor onboarding and timesheet validation, and evaluates and improves the efficiency and productivity of organizations and programs. Responsibilities Major Duties and Responsibilities Compiles, monitors, and tracks resident schedules via Educational Activity Record (EARs) documents to ensure accuracy and compliance with the disbursement agreement. This task requires specialized knowledge of complex processes, the ability to work with interdisciplinary teams, effective communication and coordination with external contacts, and leveraging stakeholders to achieve accuracy and compliance. Prepares documentation for quarterly reporting and summaries as needed for fiscal and Supply Chain Management services. Utilizes specialized knowledge of the contract to ensure correct attending compensation and independently identifies and resolves discrepancies. Performs monthly contractor timesheet validation through paper documents, which involves pulling complex Discern data to verify contractor attendance. This role requires coordination with the Contract Oversight Representative (COR) for verification and signature, communication with contracting services, and manual data validation and file-keeping to ensure contract compliance. The incumbent applies specialized knowledge and independently navigates the intricate processes involved in validating timesheets and ensuring all procedural and contractual requirements are met. Exhibits excellent communication skills, both written and verbal. Demonstrates the ability to independently draft correspondence and write, edit, and produce complex reports that require specialized knowledge of the subject matter. This role necessitates an advanced competency in tailoring communication to various stakeholders, addressing intricate topics, and ensuring clarity, coherence, and precision in all written outputs. Obtains and submits technical data for various reports to entities within the VA Central Ohio Healthcare System or accrediting bodies. Prepare monthly reports on performance monitors of each contractor and analyze the data within these reports. Organizes doctors' clinical reviews in their credentialing and privileges folders, ensuring they are up to date for auditing purposes. This role requires a detail-oriented approach, specialized knowledge in credentialing processes, and a high level of responsibility to maintain accurate and compliant records. Independently assists in the organization and monitoring of resident clinical pertinence and quality data management, including monthly chart reviews of residents and the preparation of quarterly reports for attending supervision monitors. This role requires extensive knowledge of clinical data management practices and the ability to autonomously ensure the accuracy and relevance of data collected and reported. Prepares payments for purchase card transactions and orders items needed for Eye Care services. Utilizes specialized knowledge to maintain up-to-date files for all contracts, vehicle and GFE records, and education requests. Manages budget complexities and ensures accurate tracking of available balances. Serves as the fund control point manager for the Eye Care Service, overseeing all processes related to the management and oversight of budgetary requests and fiscal processes. Utilizes specialized knowledge to independently manage these processes while collaborating with the Contract Oversight Representative (COR) and/or Chief of Eye Care Service, to ensure funding for all obligations is available or requested through proper channels.
