Office Administrator New York, NY, United States(Hybrid) Job Description The Office Coordinator will provide high-level administrative support to the Corporate Secretary and Chief Governance Officer of American Express and will support the broader Corporate Secretaryu2019s Office (CSO). This role is integral to the effective functioning of the CSO and its interaction with the Board of Directors, Board-level Committees, senior management, and key external stakeholders. The ideal candidate is a seasoned, highly professional executive assistant who is proactive, detail-oriented, and adept at anticipating the needs of the Corporate Secretary and a fast-paced governance function. Success in this role requires accuracy, sound judgment, discretion, flexibility, and the ability to manage multiple priorities in a complex, dynamic environment. Responsibilities + Manage complex calendars, including coordination of meetings and events involving members of the Board of Directors, senior executives and external stakeholders. + Support external meetings and conferences, including scheduling, logistics, reception of in-person visitors, and attendance tracking + Maintain and manage email distribution lists + Support colleague engagement initiatives in coordination with members of the Executive Committee and their Chiefs of Staff + Prepare, review, and process expense reports, ensuring T&E expenses are in compliance with company policies and budgets + Provide team administrative support, including onboarding new hires, coordinating with real estate partners, organizing team meetings and supporting special projects + Process contract invoices and purchase orders through Ariba + Coordinate domestic and international travel arrangements + Perform additional administrative duties, including ordering supplies, maintaining the team organizational chart, and supporting ad-hoc initiatives + Build and maintain strong working relationships with key partners across the company Qualifications Minimum Qualification: + Proven experience (at least 7 years) working in a fast-paced, complex, and dynamic environment with executives + Exceptional organizational, administrative, and interpersonal skills, with demonstrated ability to exercise sound judgment when interacting with senior leaders and key stakeholders + Strong attention to detail with a consistent track record of timely follow-up and execution + Excellent written, verbal and listening communication skills, with a positive solution-oriented approach + High level of integrity and discretion, with the ability to handle confidential and sensitive information appropriately + Ability to prioritize competing demands with minimal guidance and proactively identify and resolve issues + Advanced calendar management expertise and working knowledge of administrative systems and processes (e.g., purchasing, travel, expense management, etc.) + Proficiency in Microsoft Outlook and Microsoft Office, including Word, Excel and PowerPoint + Demonstrated ability to anticipate stakeholder needs and respond with efficiency and professionalism.
