Description We are looking for an experienced and dependable Office Manager to provide contract vacation coverage in New York, New York. This role serves as the front-facing point of contact for the office, supporting daily operations while delivering a detail-oriented and welcoming experience for visitors, employees, and vendors. The ideal candidate brings strong customer service instincts, clear communication skills, and the ability to keep administrative and workplace tasks organized in a fast-paced environment. Responsibilities: u2022 Manage front desk activities by welcoming visitors, coordinating guest check-ins, and maintaining badge procedures for office access. u2022 Handle incoming phone traffic with care, directing calls accurately and responding to general inquiries in a timely manner. u2022 Support day-to-day office operations by monitoring shared spaces, replenishing kitchen supplies, and helping maintain an orderly workplace environment. u2022 Coordinate with external service providers and building contacts to address facility-related needs and ensure smooth office operations. u2022 Process routine office requests and orders while tracking administrative tasks with attention to detail and follow-through. u2022 Assist with incoming and outgoing mail, packages, and shipments to keep deliveries organized and moving efficiently. u2022 Provide responsive administrative support that reflects a high standard of service during contract coverage periods. Requirements u2022 Prior experience in an office management, front desk, or receptionist role within a business setting. u2022 Strong customer service skills with the ability to interact confidently and courteously with guests, vendors, and internal teams. u2022 Excellent verbal and written communication skills, along with a strong and detail-oriented demeanor. u2022 Proficiency with Microsoft Office Suite for routine administrative and communication tasks. u2022 Ability to manage multiple priorities, stay organized, and handle time-sensitive requests with minimal supervision. u2022 Experience supporting mail distribution, visitor coordination, phone coverage, and general office logistics. u2022 Comfort working with administrative and business software such as CRM or accounting-related systems is a plus.
