Job Title: Executive Personal Assistant to the Managing PartnerLocation: Chicago, ILCompany: Prominent Class Action Litigation Boutique Law Firm  Job Description: We are seeking an experienced Executive and Personal Assistant to support our Managing Partner. This role encompasses a wide range of responsibilities, including Legal Support, Executive Support, and Administrative Support, requiring a high level of professionalism, discretion, and organizational skills. The ideal candidate should have a minimum of 5 years of experience working in a law firm environment. Key Responsibilities: Legal Support:  1.     Court Filings: Assist in preparing and filing legal documents with courts, ensuring accuracy and compliance with deadlines.  2.     Document Management: Organize and manage case-related documents, ensuring easy access and retrieval.  3.     Case Preparation: Help gather relevant documents, materials, and information for the Managing Partner's cases.  4.     Deposition and Court Appearance Preparation: Assist in preparing the Managing Partner for depositions and court appearances, including document review and preparation.  5.     Travel Support: Occasionally travel with the Managing Partner to assist during depositions and court appearances. Executive Support:  1.     Gatekeeping: Act as the primary point of contact and gatekeeper for the Managing Partner, managing communication and screening inquiries.  2.     Personal Assistance: Assist with personal errands, appointments, and other tasks to ensure the Managing Partner's personal life runs smoothly.  3.     Travel Coordination: Plan and coordinate all aspects of the Managing Partner's travel, including flights, accommodations, and itineraries. Ensure that travel arrangements meet the Managing Partner's preferences and requirements.  4.     Calendar Management: Maintain the Managing Partner's calendar, schedule meetings, appointments, and conference calls, and anticipate scheduling conflicts.  5.     Discretion and Confidentiality: Handle sensitive and confidential information with the utmost discretion and confidentiality.  6.     PowerPoint Proficiency: Demonstrate proficiency in creating and editing PowerPoint presentations for various professional needs.  7.     Microsoft Word and Excel: Be proficient in Microsoft Word and Excel for document creation and spreadsheet management.  8.     Document Management Platforms: Have familiarity with document management platforms and software to streamline processes. Administrative Support:  1.     General Office Assistance: Provide general administrative support to the office as needed, including answering phones, handling mail, and ordering supplies.  2.     Team Support: Assist other team members in the office when not working on specific projects assigned by the Managing Partner. Qualifications: A minimum of 5 years of experience as an Executive or Personal Assistant in a law firm setting is required.Exceptional organizational and time-management skills.Strong interpersonal and communication skills.Proficiency in computer programs and software relevant to the legal field, including Microsoft Word and Excel.Familiarity with document management platforms and software.Discretion and the ability to handle sensitive information with confidentiality.Flexibility and adaptability to handle a variety of tasks.Ability to work independently and take initiative.Excellent attention to detail. Benefits: Competitive salaryHealth, dental, and vision insuranceRetirement plan optionsProfessional development opportunitiesA dynamic and supportive work environment About Us: Our law firm is a nationally recognized class action litigation boutique based in Chicago, Illinois.
