Job Description

Estate AdministratorThe Estate Administrator is responsible for all phases of the administration of an assigned group of estates. The Estate Administrator will provide support to attorneys and clients in all aspects of a sophisticated estate, trust and guardianship practice. They will maintain positive contact with clients, attorneys and staff and observe confidentiality of all firm and client matters. Job Summary:1.   Obtain allowance of will andor appointments of fiduciaries. 2.   Establishes and maintains working relationships with clients and related parties. 3.   Collects and values estate assets for probate and estate tax purposes. 4.   Determines debts, expenses and taxes and reviews cash needs. 5.   Works with responsible attorney and tax accountant to develop and implement post-mortem estate and income tax planning strategies. 6.   Coordinate with Trust Department for payment of debts of decedent and expenses of the estate. 7.   Prepares for timely filing of the federal and state estate tax returns (706), inventory and probate accounts. 8.   Coordinates with an assigned tax accountant and provides the necessary documentation and information for the accountant's preparation of final individual and fiduciary income tax returns. 9.   Distribution of estate assets and funding of trusts in accordance with the estate plan.  Position Requirements: 1.   Bachelor's Degree with an in-depth understanding (5+ years' experience) of the estate planning and administration process from inception to completion. JD or prior Paralegal experience a plus. 2.   Comprehensive knowledge of Massachusetts probate court practices. 3.   Preparation of estate tax returns for large and complex estates. Preparation of probate pleadings and allowance of probate accounts. 4.   Knowledge of fiduciary income taxation and trust funding.  5.   Excellent written and verbal communication skills, and precise attention to detail a must. 6.   Proficient in MS Office Suite with an emphasis on Word and Excel. Experience with Gillett Estate Management Suite (GEMS) preferred. 7.   Highly organized, adaptable, focused, and able to handle multiple tasks and cases simultaneously. 8.   Proactive with excellent problem solving and follow-through skills. Receptive to learning and applying new procedures and applications.About Hemenway & Barnes LLPHemenway & Barnes LLP is a law firm specializing in the preservation and management of the personal, business, family, and financial assets of its clients.
