For more information, visit OPPORTUNITYThe Office Administrator plays a vital role in streamlining the daily responsibilities of the Leadership team, enabling them to focus more time on high-priority tasks. Moreover, this role extends support with ongoing tasks to multiple departments within the organization. The Office Administrator will be a proactive, agile, and highly organized individual who is instrumental in managing the calendars and emails of the Leadership team, organizing meetings and travel arrangements, and providing administrative assistance across various departments in our globally dispersed organization. WHAT YOU WILL DO Support Leadership team located in San Jose and Denver and assist CEO's office as needed.Calendar and email management for Leadership teamOrder office supplies and provide general administrative support to employeesSchedule meetings, arrange catering and organize off-site eventsAssist IT Team in the redeployment of computersAssist Finance team with review of expense claims and Accounts Payable itemsAssist with the completion and submission of Corporate forms and maintaining Corporate document registryPrime employee on-boardingArrange airfare, accommodations, and conference logistics for Leadership teamManage travel application and verify bookings to ensure cost effective travel that meets travelers' needs while adhering to corporate travel policyOwn relationship with third-party travel management company and cultivate relationships with preferred airlines and hotelsConduct training sessions for new employees, provide user support, and ensure expense reports are compliant with travel policies prior to reimbursementAct as the subject matter expert (SME) for travel and expense reimbursements including responding to employee questions, Investigatingresolving queries from employees and service provider for travel bookings and providing general customer serviceAssist with ad hoc projects for various teamsOther duties as assigned WHO YOU ARE At least 3 years of executive level administrative experience, ideally in the Technology sectorExcellent computer skills and extensive knowledge of Microsoft Office (PowerPoint, Word, Excel, SharePoint)Ability to handle material and information with discretion and confidentialityContagious positive attitude and appetite for developmentAbility to multitask in a fast-paced environment and anticipate last-minute changesTeam player mindset with the ability to be flexibleStrong business acumen and professionalismAs part of the recruitment process for this position, you will be required to submit your latest citizenship andor permanent residency information.
